Terms & Conditions
This terms and conditions are effective for all bookings accepted from 20 April 2020.
Journey to the East is a tour operator (as opposed to a travel agent or travel wholesaler). Our wesite has a helpful discussion titled Travel Agent vs Tour Operator.
1 Booking your tour
By making a booking with us you are deemed to have accepted the Journey to the East terms and conditions of travel. Your booking is not confirmed until we have received a non-refundable deposit.
- The deposit required is $1,000 per person joining a Group Tour or a minimum of $2,000 per person for a Private Tour (your specific itinerary may be subject to a higher deposit).
- The balance of any booking is due 90 days before the tour commences. Bookings made within 90 days of departure require full payment to confirm the booking.
- We may require an additional non-refundable deposit for arranging pre or post tour extensions.
- All prices on this website are quoted in Australian Dollars.
- All our prices are land only. International exchange rates are beyond our control and we reserve the right to apply any losses caused by variance in the exchange rate up to and including the date of the final payment.
- If you choose to pay by credit card we will pass on to you the fee payable by us to the credit card company. The credit card fee may depend on which credit card is being used and the country of origin for the account. The fees charged by suppliers change from time to time and a typical range is from 1.75 – 2.5 % in addition to the cost of the product. We reserve the right to pass on any fees levied on us by the bank(s) for international transactions.
3 Itinerary change
We make use of local infrastructure, hotels, restaurants etc. to deliver your tour. In the event plans are disrupted, we reserve the sole right to adjust the itinerary to enable us to deliver what we consider to be a comparable tour. We may also change a tour if we consider traveller security or safety could be compromised. Please read this item in conjunction with the clause 12 on Acceptance of risk.
- By the client
Cancellations must be made in writing (email will suffice). The following cancellation charges apply based on the date the written cancellation is received:
- 91 days or more prior to departure, we will retain your deposit;
- Between 90 and 61 days prior to departure, we will retain the deposit and 50% of the balance of total booking;
- Between 60 and 31 days prior to departure, we will retain the deposit and 75% of the balance of total booking; and
- 30 days or less prior to departure, we will retain 100% paid by you in connection with the booking.
Non payment of the balance by the scheduled due date may at our sole discretion be treated as a cancellation by you. Non settlement of the full balance by the scheduled due date by any member(s) of a private (custom built) tour may at our sole discretion be construed as a cancellation of the whole private tour.
You are strongly advised to take out travel insurance at the time of booking, which will cover cancellation fees. If you fail to join a tour, join it after departure, or leave it prior to its completion, we are not obliged to make any refunds for unused services. (Please ask about a re-booking to travel within 12 months).
2. By Journey to the East
Journey to the East may cancel at any time if we consider the risks are outside our acceptable limits. (Also see 12 Acceptance of risk and force majeure.) In the event that a tour is cancelled by us we may offer an alternative tour, alternative date or a refund. Where a cancellation is due to external events outside our reasonable control, the refund will exclude an amount to cover our unrecoverable costs. Journey to the East will always attempt to recover funds we paid to our suppliers on behalf of the client when we have to cancel a tour for reasons outside our control. However, any fees charged by a third party will not be covered by Journey to the East and in anycase refunds will not be made untill we receive funds from the supplier.
Journey to the East provides full, in-house tour design, arrangement, coordination and management services that are the foundation of your tour (for both Private and Group Tours). Tour preparation work typically begins 18 months in advance for a group tour or at a time of booking for a private tour. The cost of this work performed by our staff will be progressively allocated to your tour and forms a part of the unrecoverable costs.
We are never responsible for any incidental expenses that you may have incurred as part of booking the tour.
We also reserve the right to cancel a tour if we fail to reach the stated minimum group size. We will always offer to proceed with the tour with lesser numbers with an agreed fare adjustment option.
5 Inclusions & exclusions
Our tours prices include all accommodation, transport, food, entry fees and tour guides as detailed in our tours plans and itineraries. Our inclusion notes provide the comprehensive outline of inclusions.
Our tour price excludes all items not listed as included in our tour notes, commonly air travel, travel insurance, airport transfers, baggage transfers, personal expenses, some exhibit entry fees and some meals.
6 Personal information
In order for us to complete booking arrangements, we will require personal details including but not limited to full name as per passport, date of birth and nationality. You must advise us of any preexisting medical conditions you have which may affect your ability to complete your travel arrangements. If you are over 69 we may ask you to complete a self-assessment form before we can accept your booking.
7 Age limits
Our small group tours (as opposed to private tours) are structured with an expectation of people over 18. Although we have no upper limit, people over 69 may need to complete a self-assessment. We anticipate a reasonable level of fitness to cover the undulating terrain and stairs.
8 Personal documents and images
1. Permits and vouchers
You must carry a valid passport (with at least 6 months left to run beyond the end of your tour). Although we provide comment about visas and vaccinations in our tour notes, they are for guidance only and you are responsible for ensuring you have the correct passport, visas and travel papers.
Where a Japan Rail voucher is included in your tour, you will be responsible for safe keeping of the rail pass and tickets associated with the voucher. These items cannot be replaced if misplaced.
All your accommodation will be booked in your name. You will not need accommodation vouchers, however, you will be required to offer your passport to check-in to any accommodation.
When you join one of our tours, you accept that photographs taken during the tour may include facsimiles of yourself. You also accept that such photographs taken by our staff or presented to us by fellow travellers may be used by Journey to the East for publicity of its products and services.
9 Travel insurance and your responsibility
Travel insurance is compulsory to travel with Journey to the East. It is not included in the price (nor sold by Journey to the East) however, we may ask you for proof of insurance before you travel with us. We recommend that you secure travel insurance as soon as you have confirmation of your booking.
Travel includes much more than just your holiday. It includes flights, luggage, personal effects, taxis, other travel arrangements or associated costs, health and others. There are many levels of travel insurance and you should ensure that your policy meets with your personl level of risk tolerance. We recommend you select insurance that also covers you for cancellation for any reason (CFAR) or curtailment as well as personal liability. In the unlikely event that your holiday is affected by any circumstance outside our control - including Force Majeaur see below - we expect you to have arranged sufficient insurance to ensure you are not out of pocket. It is important to understand our insurance will not cover you in the event of Force Majeaur.
We expect our guests not to adversely affect the well-being of the group and to refer any issues to the guides. We also expect you to comply with local laws, culture and drug regulations; we do not have the skills or resources to help if you fall foul of the laws of the country you are visiting.
10 Service fees
1 Service fees will be charged when you request changes to your confirmed booking.
2 Schedule of service fees
The guide below is subject to change without notice. The price is for the service fee only. Depending on changes requested, there may be charges to cover any supplier’s costs (including cancellations fees).

* Fees will be due with the final account for bookings unless otherwise specifically agreed with the client.
3 Other services
Journey to the East generally only offers land services in Japan. This means we do not offer international air travel, visa arrangements or any accommodation/ services outside of Japan. Any comments offered by our staff in relation to non-Japanese land based services are purely based on hearsay from clients or any other sources. You must personally verify the accuracy of such comments and they meet your needs.
11 Special requests, requested amendments and refusal to accept booking
Any special requests should be made at the time of booking and Journey to the East will forward any such requests to its supplier/s as necessary. However, because Journey to the East does not have any control over the suppliers, special requests can not form part of our offering. Accordingly, we do not guarantee the delivery of your special request, including dietary, medical or special room configuration requests. On our small group tours, we will not be able to offer alternative meals if our pre-selected restaurants are not able to cater for your dietary requirements. Where special requests are acknowledged or actioned in any way, including invoicing, this does not represent a guarantee to deliver the request and your booking will continue to be serviced under our standard terms and conditions. Any costs incurred in an attempt to assist with special requests must be born by the client. If, in the sole opinion of Journey to the East, catering for special requests of a traveller disadvantages other travellers on a tour then Journey to the East may refuse the booking.
12 Acceptance of risk and force majeure
By booking a tour with Journey to the East you accept that travel includes a risk component. You are acknowledging that political, cultural and geographic characteristics all present their own risks outside the control of Journey to the East, as do the local businesses over which we have no restraint. Journey to the East is not responsible in any way for situations outside its control. Further, our terms and conditions are subserviant to those of our suppliers and as such the supplier terms and conditions govern the use of their services and facilities and may also override any other terms and conditions outlined in this agreement.
In the event of any such circumstances beyond our reasonable control including, but not limited to Force Majeure (see below), it may be (at the sole discretion of Journey to the East) necessary to modify or cancel an itinerary and Journey to the East are not responsible for any loss or expenses incurred. Working on a best efforts basis, Journey to the East may endeavour to arrange for the provision of comparable services wherever possible but any additional expense incurred are payable by the travellers. The traveller is responsible for recovering any such costs (through their selected travel insurance).
12.1 Force Majeure
Neither Party will be liable for any failure or delay in performing an obligation under this Agreement that is due to any of the following causes, to the extent beyond its reasonable control: acts of God, accident, riots, war, terrorist act, epidemic, pandemic, quarantine, outbreaks of infectious disease or any other public health crisis, civil commotion, breakdown of communication facilities, natural catastrophes or phenomena , governmental acts or omissions, changes in laws or regulations, national strikes or civil disobedience, fire, explosion, generalized lack of availability of raw materials or energy.
For the avoidance of doubt, Force Majeure shall not include (a) financial distress nor the inability of either party to make a profit or avoid a financial loss, (b) changes in market prices or conditions, or (c) a party's financial inability to perform its obligations hereunder.
These terms and conditions set out here are governed by the laws of Queensland Australia. Any disputes in connection with a tour or these terms and conditions must be initiated in the courts of Queensland, Australia.
14 Your Responsibilities
By booking and accepting our terms and conditions you agree to meet the following requirements:
o You warrant that you are over the age of eighteen (18) and have sufficient funds to pay for the travel services
o You have read our terms and conditions and if booking for third parties have conveyed these terms and conditions to them
o You have read the terms and conditions of any suppliers or third party service providers and agree to be bound by those
o You are responsible for checking the accuracy of all documents provided to you
o You warrant and acknowledge that you have accessed your governments travel advisary website (Smarttraveller for Australians) for any specific enquiries in relation to your intended destination
o The currency of your passport / visa and other required identification documents are your responsibility
Journey to the East ("we", "us""our" ) operates https://Journeytotheeast.com.au (the "Site"). This statement informs you of our policies regarding the collection, use and disclosure of Personal Information we receive from users of the Site. By using the Site, you agree to the collection and use of information in accordance with this policy.
Information Collection And Use
While using our Site, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. Personally identifiable information may include, but is not limited to your name, telephone contact and email address. Where you choose to make a payment through the Site, via a credit card, we use an recognised gateway product.
Like many site operators, information that your browser sends, whenever you visit our Site, is collected (we use tools such as Google Analytics ). This Log Data may include information such as your computer's Internet Protocol ("IP") address, browser type, browser version, the pages of our Site that you visit, the time and date of your visit, the time spent on those pages and other statistics.
We may use your Personal Information to contact you with newsletters, marketing or promotional materials and other information that pertains to conducting our business. In the course of making bookings for your holiday, we supply the vendors we use with information they require including but not limited to your name. We will not sell or market your personal information.
Removal of Personal Information
At any time you can request that your personal information is removed from all our future correspondence.
Cookies are files with small amount of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a web site and stored on your computer's hard drive. Like many sites, we use "cookies" to collect information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Site.
The security of your Personal Information is important to us, but remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security.
