1 Booking your tour
By making a booking with us you are deemed to have accepted the Journey to the East terms and conditions of travel. Your booking is not confirmed until we have received a non-refundable deposit.
- For tours departing prior to 1 Jan 2020 the deposit required is $300 for per person joining a Group Tour or $1,000 per person joining a Private Tour. The balance of any booking is due 60 days before the tour commences. Bookings made within 60 days of departure require full payment to confirm the booking.
- For tours departing after 1 Jan 2020 the deposit required is $500 for per person joining a Group Tour or $1,000 per person joining a Private Tour. The balance of any booking is due 90 days before the tour commences. Bookings made within 90 days of departure require full payment to confirm the booking.
- All prices on this website are quoted in Australian Dollars.
- All our prices are land only. International exchange rates are beyond our control and we reserve the right to apply any losses caused by variance in the exchange rate up to and including the date of the final payment.
- If you choose to pay by credit card we will pass on to you the fee payable by us to the credit card company. The credit card fee depends on which credit card is being used and the country of origin for the account. The fees charged by suppliers change from time to time and a typical range is from 1.5 – 3.5 % in addition to the cost of the product. We reserve the right to pass on any fees levied on us by the bank(s) for international transactions.
3 Itinerary change
We make use of local infrastructure, hotels, restaurants etc. to deliver your tour. In the event plans are disrupted, we reserve the sole right to adjust the itinerary to enable us to deliver what we consider to be a comparable tour. We may also change a tour if we consider traveller security or safety could be compromised. Please read this item in conjunction with the clause on Acceptance of risk.
- By the client
Cancellations must be made in writing. If you cancel before the scheduled final payment due date you will be entitled full refund all money paid to Journey to the East (less the non-refundable deposit). If you cancel more than 30 days before the scheduled travel date you will be entitled to any amount you have paid above 50% of the full price less your deposit. Cancellations less than 31 days from departure will not be entitled to any refund. Non payment of the balance by the scheduled due date may at our sole discretion be treated as a cancellation. Non settlement of the full balance by the scheduled due date by any member(s) of a private (custom built) tour may at our sole discretion be construed as a cancellation of the whole private tour. (Please ask about a re-booking to travel within 12 months).
2. By Journey to the East
Journey to the East may cancel at any time up to 31 days before the scheduled departure. We may cancel at any time if we consider the risks of health, political, safety or disruption is outside our acceptable limits (also see Small Groups below). In the event that a tour is cancelled by us we will offer an alternative tour or alternative date or a refund. Where a cancellation is due to external events outside our reasonable control, refunds may exclude an amount to cover our unrecoverable costs. We are never responsible for any incidental expenses that you may have incurred as part of booking the tour.
5 Inclusions & exclusions
Our tours prices include all accommodation, transport, food, entry fees and tour guides as detailed in our tours plans and itineraries. Our inclusion notes provide the comprehensive outline of inclusions.
Our tour price excludes all items not listed as included in our tour notes, commonly air travel, travel insurance, airport transfers, baggage transfers, personal expenses, some exhibit entry fees and some meals.
6 Personal information
In order for us to complete booking arrangements, we will require personal details including but not limited to full name as per passport, passport number, passport expiry date, date of birth and nationality. You must advise us of any pre-existing medical conditions you have which may affect your ability to complete your travel arrangements. If you are over 69 we may ask you to complete a self-assessment form before we can accept your booking.
7 Age limits
Our small group tours (as opposed to private tours) are structured with an expectation of people over 18. Although we have no upper limit, people over 69 may need to complete a self-assessment. We anticipate a reasonable level of fitness to cover the undulating terrain and stairs.
8 Personal documents, permits and vouchers
You must carry a valid passport (with at least 6 months left to run beyond the end of your tour). Although we provide comment about visas and vaccinations in our tour notes, they are for guidance only and you are responsible for ensuring you have the correct passport, visas and travel papers.
Where a Japan Rail voucher is included in your tour, you will be responsible for the rail pass and tickets associated with the voucher. These items cannot be replaced if misplaced.
All your accommodation will be booked in your name. You will not need accommodation vouchers, however, you will be required to offer your passport to check-in to any accommodation.
9 Small groups
We operate with very small groups . We reserve the right to cancel a tour if we fail to reach the stated minimum group size. We will always offer to proceed with the tour with lesser numbers with an agreed fare adjustment option.
10 Travel insurance and your responsibility
Travel insurance is compulsory to travel with Journey to the East. It is not included in the price and we may ask you for proof of insurance before you travel with us.
Travel includes much more that just your holiday. It includes flights, luggage, personal effects, taxis, other travel arrangements or associated costs, health and much more. We recommend you seek comprehensive insurance that also covers you for cancellation or curtailment as well as personal liability. In the unlikely event that your holiday is affected by any circumstance outside our control, we expect you to have arranged sufficient insurance to ensure you are not out of pocket.
We expect our guests not to adversely affect the well-being of the group and to refer any issues to the guides. We also expect you to comply with local laws, culture and drug regulations; we do not have the skills or resources to help if you fall foul of the laws of the country you are visiting.
We recommend that you secure travel insurance as soon as you have confirmation of your booking. This will protect you against any unforeseen circumstances.
11 Service fees
1 When they apply.
Should you request changes to your booking, it will naturally take extra time to implement your request and service fees will apply after the original booking has been confirmed. For why we charge service fees, please see the notes at the end of our terms and conditions.
2 Schedule of Service fees
The guide below is subject to change without notice. The price is for the service fee only. Depending on changes requested, there may be charges to cover any supplier’s costs (including cancellations fees).

3 Other services
Journey to the East generally only offers land services in Japan. This means we do not offer international air travel, visa arrangements or any accommodation/ services outside of Japan. Any comments offered by our staff in relation to non-Japanese land based services are purely based on hearsay from clients any other sources. You must personally verify that any comment is accurate and meets your needs.
If you cancel your tour, in addition to any tour cancellation fees, any additional service fee you may have incurred will be due.
12 Special requests, requested amendments and refusal to accept booking.
Any special requests should be made at the time of booking and Journey to the East will forward any such requests to their vendor(s). However, because Journey to the East does not have any control over vendors, special requests cannot not form part of our offering. Accordingly, we do not guarantee the delivery of your special request, including dietary, medical or special room configuration requests. Where special requests are acknowledged or actioned in any way, including invoicing, this does not represent a guarantee to deliver the request and your booking will continue to be serviced under our standard terms and conditions. Any costs incurred in an attempt to assist with special requests must be born by the client.
Any requests for amendment to tour arrangements less than 30 days before departure may incur a handling fee of AU$250 per change plus any fees/costs incurred in an attempt to assist with the amendment request.
If, in the sole opinion of Journey to the East, catering for special requests of a traveller disadvantages other travellers on a tour then Journey to the East may refuse the booking.
13 Acceptance of risk
By booking a tour with Journey to the East you accept that travel includes a risk component. You are acknowledging that political, cultural and geographic characteristics all present their own risks outside the control of Journey to the East, as do the local businesses over which we have no restrain. Journey to the East is not responsible in any way for situations outside its control.
In the event of any such circumstances beyond our reasonable control including, but not limited to, severe weather, flooding, fire, drought, earthquake, government restraint, security, safety or other natural phenomenon, it may be (at the sole discretion of Journey to the East) necessary to modify or cancel an itinerary and Journey to the East are not responsible for any loss or expenses incurred. Working on a best efforts basis, Journey to the East may endeavour arrange for the provision of comparable services wherever possible but any additional expense incurred are payable by the travellers. The traveller would be responsible for recovering any such costs (through their travel insurance).
The booking conditions set out here are governed by the laws of Queensland Australia. Any disputes in connection with a tour or these booking conditions must be initiated in the courts of Queensland, Australia.
1 Why we charge service fees?
As technology continues to improve, we can increasingly book accommodation, transport etc. at a price below the traditional ‘rack price’ less commission. It seems sensible to use this lower cost when available. Similarly, it seems more equitable and fairer to pass on any commissions to the client and charge a service fee for our services in all cases. (This also means we can book the best for the client instead of booking the one with the best commission.)
2 Travel Agents fees
Our prices for our Small Group Tours do not include compensation (commission) to Travel Agents. Should you choose to book your tour through your Travel Agent, we would expect that your Travel Agent will charge you a fee, over and above the advertised price of your tour, for the use of their services and facilities .

This statement informs you of our policies regarding the collection, use and disclosure of Personal Information we receive from users of the Site. By using the Site, you agree to the collection and use of information in accordance with this policy.
Information Collection And Use
While using our Site, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. Personally identifiable information may include, but is not limited to your name, telephone contact and email address. Where you choose to make a payment through the Site, via a credit card, we use an recognised gateway product.
Like many site operators, information that your browser sends, whenever you visit our Site, is collected (we use tools such as Google Analytics ). This Log Data may include information such as your computer's Internet Protocol ("IP") address, browser type, browser version, the pages of our Site that you visit, the time and date of your visit, the time spent on those pages and other statistics.
We may use your Personal Information to contact you with newsletters, marketing or promotional materials and other information that pertains to conducting our business. In the course of making bookings for your holiday, we supply the vendors we use with information they require including but not limited to your name. We will not sell or market your personal information.
Removal of Personal Information
At any time you can request that your personal information is removed from all our future correspondence.
Cookies are files with small amount of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a web site and stored on your computer's hard drive. Like many sites, we use "cookies" to collect information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Site.
The security of your Personal Information is important to us, but remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security.
